SUBJECT: Contribution of Funds for Community Outreach Events
RECOMMENDED ACTION(S):
TITLE
Approve and authorize the Department of Public Works and Planning - Resources Division to participate in community outreach events and to incur related expenditures, described in Attachments A through C, for FY 2025-26, per Administrative Policy 80.
REPORT
Administrative Policy 80 was approved to govern department contributions for non-County events, causes, or anything similar. The purpose of this agenda item is for your Board to consider and approve the events that the Department of Public Works and Planning - Resources Division may participate in which require a registration fee. This item is countywide.
ALTERNATIVE ACTION(S):
Should your Board not approve the recommended action, the Department will not participate in the identified events which require a registration fee.
FISCAL IMPACT:
There is no increase in Net County Cost associated with the recommended action. Cost associated are estimated to be $2,000. Sufficient appropriations are included in the Department’s Resources Division Org 9015 FY 2025-26 Adopted Budget. Actual costs will be determined by actual events attended.
DISCUSSION:
During your Board of Supervisor’s Committee Reports and Comments section of the June 10, 2025 meeting, your Board discussed department sponsorship and financial contributions to community events. Direction was given to the CAO to create a process for approval for events that County departments may participate in or contribute funding towards.
On July 8, 2025, Administrative Policy 80 - Department Contributions of Funds for Non-County Events or Causes, was approved by your Board ensuring that the County follows a consistent process when departments seek to make contributions of funds for non-County events, causes, or anything similar.
The Department’s Resources Division actively participates in community events to promote proper waste disposal practices. Encouraging responsible disposal reduces contamination and boosts recycling and composting efforts, ultimately benefitting the environment and the community. Most of these community events are free for the County to attend, but a few charge a registration fee. The following events as well as the cost per event for FY 2025-26 are presented for your Board’s approval:
Fresno Home & Garden Show - March 6-9, 2026 - $1,050
Funds will be paid to the event organizer, Fresno Home & Garden Show for a 10x10 space. Public Works and Planning Resources will utilize this space for tabling activities and the distribution of educational materials that promote proper and current waste disposal practices.
Fresno State Vintage Days - April 17-19, 2026 - $850
Funds will be paid to the event organizer, Cumulus Media, for a 10x10 space. Public Works and Planning Resources will utilize this space for tabling activities and the distribution of educational materials that promote proper and current waste disposal practices.
Kingsburg Swedish Festival - May 16, 2026 - $100
Funds will be paid to the event organizer, Kingsburg Chamber of Commerce, for a 10x10 space. Public Works and Planning Resources will utilize this space for tabling activities and the distribution of educational materials that promote proper and current waste disposal practices.
Approval of the recommended action would allow for the Department to participate in the events listed above. There are other events that may occur throughout the year which may require nominal registration fees. The Department will return to your Board for approval for such events.
