RECOMMENDED ACTION(S):

TITLE

Approve and authorize the Chairman to execute an Agreement with Secure-Centric, Inc. for ProofPoint software products and services, effective October 1, 2024, for a three-year term, total not to exceed $965,913.

REPORT

There is no additional Net County Cost associated with the recommended action, which will allow the Internal Services Department, Information Technology Division (ISD-IT) to execute an agreement with Secure-Centric, Inc. (Secure-Centric) for continued use of ProofPoint software products and services (Agreement). This item is countywide.

 

ALTERNATIVE ACTION(S):

 

Should your Board choose to not approve the recommended action, the County would be without spam and malicious e-mail filter software, which is used to capture and remove spam and viruses sent through internal and external email communications.

 

FISCAL IMPACT:

 

There is no increase in Net County Cost associated with the recommended action. The maximum compensation for the recommended Agreement is $965,913 and will be funded by chargebacks to user departments. Sufficient appropriations and estimated revenues are included in ISD-IT’s Org 8905 FY 2024-25 Adopted Budget and will be included in subsequent budget requests.

 

DISCUSSION:

 

On June 11, 2024, the Internal Services Department, Purchasing Division (ISD-Purchasing) released Request for Quotation (RFQ) No. 24-075 requesting bids from qualified vendors for Proofpoint software products and services. RFQ No. 24-075 closed on June 21, 2024, and ISD-Purchasing received only two quotes and Secure-Centric was the lowest, most responsive bidder.

 

ProofPoint software provides the County with spam and malicious email filtering, as well as the removal of spam and viruses sent through both internal and external email communications. ProofPoint, Inc. doesn’t sell direct to customers, and only sells through third-party resellers.

 

The recommended action approves the Agreement with Secure-Centric for malicious email filtering, and removal of spam and viruses sent through internal and external email communication, as well as for support, for a three-year term with no extensions for $965,913.
