RECOMMENDED ACTION(S):

TITLE

Approve and authorize the Chairman to execute an Agreement with Two Fayre Ladies, for exclusive use of Kearney Park for a two-day event in the years 2018, 2019, 2020, 2021 and 2022 ($39,615). 

REPORT

Approval of the recommended action will authorize the exclusive use of Kearney Park by Two Fayre Ladies for a two-day Renaissance Fair, with the first on November 10 and 11, 2018.  Dates for the event in 2019, 2020, 2021, and 2022 will be mutually agreed upon by the County and Two Fayre Ladies.  The Historic Parks Advisory Committee has previously reviewed the application for the events and recommends approval by your Board. This item pertains to a location in District 1.

 

ALTERNATIVE ACTION(S):

 

If your Board does not approve the recommended action, the Renaissance Fair would not be held at Kearney Park.

 

FISCAL IMPACT:

 

There is no Net County Cost associated with the recommended action. Two Fayre Ladies will pay the County the daily rate of $3,270, as approved by the Master Schedule of Fees for exclusive use of Kearney Park, and the standard $5 per vehicle entrance fee. Additionally, Two Fayre Ladies shall pay the County $1,000 per day for a refundable cleanup/damage deposit.  Approximately 1,333 vehicles are expected to enter the park, at the standard $5 per vehicle entry fee, this would represent a total vehicle entrance fee collection of $6,665 per event.  The funds will be deposited in the Department of Public Works and Planning Parks and Grounds Org 7910 and will be used for park operational and maintenance expenses.  Sufficient estimated revenues are included in the Org 7910 FY 2018-19 Recommended Budget and will be included in budget requests for the next four years.

 

DISCUSSION:

 

Two Fayre Ladies has requested the exclusive use of Kearney Park to conduct a two-day Renaissance Fair for five years, beginning on November 10 and 11, 2018.  Event dates for years 2019 through 2022 will be mutually agreed upon by the County and Two Fayre Ladies, although the event is generally held the weekend following the first full week in November. The event planned is a historic Renaissance period festival that includes reenactments and music.  Food, non-alcoholic beverages and alcoholic beverages will be sold. Two Fayre Ladies will have the right to retain all revenue from food, drink, and merchandise sales at the events. The 2018 event will be the twentieth year that Two Fayre Ladies has held the Renaissance Fair at Kearney Park. 

 

Two Fayre Ladies will arrange for all staffing, security, liquor licenses, and all other coordination necessary to conduct the event and estimates up to 4,000 people will attend the event.
