SUBJECT: First Amendment to Agreement with Future Ford of Clovis for County Vehicle Maintenance and Parts
RECOMMENDED ACTION:
TITLE
Approve and authorize the Chairman to execute First Amendment to Agreement No. 16-084 with Future Ford of Clovis for vehicle maintenance and parts, effective upon execution with no change in term to February 28, 2019, with two optional one-year extensions, and increasing the maximum compensation amount by $225,000, for a total maximum compensation amount of $2,100,000.
REPORT
There is no increase in Net County Cost associated with the recommended action. Approval of the recommended action will increase the maximum agreement compensation amount by $225,000, for a total not to exceed amount of $2,100,000, for the provision of vehicle maintenance and parts for County vehicles, which may be required to maintain County vehicle needs. The recommended amendment will also remove annual expenditure limits. This item is countywide.
ALTERNATIVE ACTION(S):
Should your Board not approve the recommended action, requests for vehicle maintenance and parts from Future Ford of Clovis for County vehicles would go unfulfilled.
FISCAL IMPACT:
There is no increase in Net County Cost associated with the recommended action. Approval of the recommended action will increase the maximum agreement amount by $225,000, for a new maximum potential five-year total of $2,100,000. Sufficient appropriations and estimated revenues are included in the Internal Services Department - Fleet Division Org 8910, Sheriff-Coroner-Public Administrator Org 3111, and Public Works and Planning’s American Avenue Disposal Site Org 9026 & Special Districts Org 9140 FY 2018-19 Adopted Budgets and will be included in future budget requests.
DISCUSSION:
On March 1, 2016, the Board approved Agreement No. 16-084 for vehicle maintenance and parts provision by Future Ford of Clovis (the Agreement).
Approval of the recommended action will increase the maximum agreement compensation amount by $225,000, for a new maximum potential five-year total compensation amount of $2,100,000. This amount is necessary to be able to fulfill the increase in vehicle maintenance and parts needs for County vehicles by user departments.
This Amendment, as presented, removes language for individual yearly spending caps, allowing full use of the overall five-year budget, and flexibility to accommodate spending fluctuations that may occur during the overall agreement term.
