SUBJECT:                     Second Amendment to Agreement for Architectural Consulting

RECOMMENDED ACTION(S):

TITLE

1.                     Approve and authorize the Chairman to execute Second Amendment to Agreement No. 18-373 with multiple consultants for architectural consulting services, effective upon execution with no change in term to July 7, 2021 and increasing the maximum by $600,000 to a total of $1,100,000.

 

2.                     Adopt Budget Resolution increasing FY 2018-19 appropriations and estimated revenues for the Internal Services Department, Facility Services Org 8935 in the amount of $100,000 (4/5 vote).

 

REPORT

Approval of the recommended actions will allow the Internal Services Department, Facility Services Division (ISD Facility Services) to fulfill an increased demand for architectural consulting services by user departments throughout the County. This item is countywide.

 

ALTERNATIVE ACTION(S):

 

Should your Board not approve the recommended actions, ISD Facility Services may not be able to fulfill departmental work requests for architectural consulting services.

 

FISCAL IMPACT:

 

There is no increase in Net County Cost associated with the recommended actions. All costs associated with these services are recovered through charges to user departments. Approval of the second recommended action will increase the appropriations and estimated revenues by $100,000 in the FY 2018-19 Internal Services Department - Facility Services Org 8935 to cover architectural consulting services expected to occur in FY 2018-19.

 

DISCUSSION:

 

On July 8, 2016, the County executed Purchasing Agreement No. P-16-424-S (the “Agreement”). The Agreement awarded multiple consultant architects, which in turn gave ISD Facility Services flexibility in fulfilling architectural consultant work requests for remodeling projects countywide. The Agreement was for a total potential 5-year term (a 3-year base term plus 2 possible successive 1-year extensions), with a not to exceed value of $95,000.

 

On July 10, 2018, Purchasing Agreement No. P-16-424-S was converted into Board Agreement No. 18-373 to increase the maximum amount by $405,000 to a total of $500,000, as the maximum amount allowable for services exceeded the Purchasing Manager’s authority of $100,000.

 

Approval of the first recommended action will further increase the maximum compensation amount by $600,000, for a total potential 5-year cost not to exceed $1,100,000. The recommended amendment will allow ISD Facility Services to fulfill the increased demand of architectural consulting services for remodeling projects throughout the County. All other terms of the Agreement remain unchanged.
