SUBJECT:                     Amendment to Agreement with Integrated Voting Systems, Inc.

 

RECOMMENDED ACTION(S):

TITLE

Approve and authorize the Chairman to execute Amendment III to Agreement No. 15-584 with Integrated Voting Systems, Inc., (IVS) for ballot printing, vote by mail processing and vote by mail envelope services, effective upon execution with no change in term of November 18, 2015 through June 30, 2021 and increasing the maximum by $200,000 to a total of $4,000,000.

REPORT

Approval of the recommended action will allow the County Clerk/Elections Department to increase the maximum compensation due to additional costs incurred from the November 2020 election. This item is countywide.

 

ALTERNATIVE ACTION(S):

 

Should your Board not approve the recommended action, the Department will not be able to procure critical election material from this vendor.

 

FISCAL IMPACT:

 

There is no increase in Net County Cost associated with the approval of the recommended action. Sufficient appropriations are included in the Department’s Org 2850 FY 2020-21 Adopted Budget for the $200,000 current year increase for the IVS agreement.

 

DISCUSSION:

 

The Third Amendment to Agreement No. 15-584 reflects an increase of $200,000 in the contract’s maximum compensation to reflect additional costs for the November 2020 Presidential General Election that were not included in the original agreement. Additional required mailings and costs associated with mandated ballot tracking increased the Department’s expenditures under this agreement.
